Business systems proposal

Build the engine right the first time.

A branded website, lead system, CRM, automation platform, and call-center foundation designed for Legacy Path Planning to grow without losing leads, client history, or accountability.

Prepared for Legacy Path Planning Prepared by By Design Proposal valid August 27 through September 9, 2026
Tier 1 total$8,500 one time
Carla requestedTier 2 at $9,500
Our recommendationTier 3 at $11,500
First working resultsWithin 5 to 10 business days

Recommended project total

Tier 3 includes the complete website, CRM, automation, and supervisor-controlled call-center setup. If Legacy Path Planning uses its own website provider, the revised Tier 3 total is $9,500.

$11,500 one timeOr $9,500 if you remove the By Design website build
Then $497/month managed support
CallTools subscription and usage paid separately

The short version.

Legacy Path Planning needs one dependable system for leads, agents, follow-up, client communication, appointments, reporting, and calls. GoHighLevel will run the CRM and automation. CallTools will power the call center.

What we are building

  • New brand identity and lead-generating website
  • Private staff CRM with agent access and permissions
  • Facebook, website, and imported lead capture
  • Automated follow-up, appointment, birthday, and policy communications
  • Call logging, recording, reporting, and optional live supervision

Best decision

  • Tier 2 delivers exactly what Carla requested: call logging, recording, and live listening.
  • Tier 3 adds private coaching and supervisor intervention, which protects scripts, training, and customer experience as the team grows.
  • Managed support is optional. A self-managed handoff has no monthly By Design support fee, but the client still pays for required software and usage.

What we heard.

This proposal is based on Carla’s current priorities for the life-insurance business. It excludes unrelated businesses and does not include a policyholder portal.

1

An owned, professional system

A dedicated Legacy Path Planning CRM for Carla, the co-owner, agents, and assistants.

2

Lead capture that makes money

Capture and organize website, Facebook, referral, event, and imported leads without manual re-entry.

3

Fast, persistent follow-up

Immediate lead response plus longer drip campaigns that continue working aged leads.

4

Client relationship reminders

Birthday-card triggers, appointments, policy review reminders, and approved policy-change communications.

5

Agent visibility

See who owns each lead, what has happened, each call outcome, and what needs attention next.

6

A real call-center foundation

CallTools connected to GHL so dialing activity and outcomes return to the central client record.

7

A credible public presence

A new forest green, ivory, and gold identity with a website built to support trust and lead conversion.

8

Room to grow

A system that can add agents, campaigns, lead sources, and automation without rebuilding from zero.

Where the investment goes.

A transparent allocation of the project fee, so the work behind each total is easy to understand.

What can be removed:Removing the By Design website build lowers the selected package price by $2,000. Most CRM features work together, so removing anything else may require us to revise the plan and price in writing. The amounts below show where the investment goes and are not automatic price reductions. You pay separately for domains, software subscriptions, usage, and licensed third-party assets.

What we need from you.

Before we can begin, please have these items ready when the agreement is signed and the first payment is made.

✓

Business and license information

Legal business name, owners, DBA information, insurance license numbers, carrier appointments, and states served.

✓

Account access

Domain, business email, Facebook page and ad account, calendars, phone numbers, and any current lead systems.

✓

Team list

Names, emails, and roles for owners, managers, agents, assistants, and anyone who needs call-center access.

✓

Lead files and sources

Current lead spreadsheets plus where each list came from and what permission exists to call, text, or email those people.

✓

Approved business content

Services, carrier-approved language, scripts, disclosures, FAQs, contact information, testimonials, and any existing photos or logos.

✓

Fast decisions and one point person

Name the person who can approve design, copy, workflows, and compliance language, then return one combined set of feedback at each review.

When the clock starts: the first working results are due 5 to 10 business days after all three are complete: the agreement is signed, the first payment clears, and the required items above are supplied. Missing access, content, or approvals pauses the affected work.

BargeA manager joins the call and speaks to both the agent and the customer.
Why recommend Tier 3?

“We just want to do it right the first time.”

Carla’s stated priority is directly reflected in this recommendation.

→

Tier 2 delivers the live listening Carla requested. Tier 3 adds the tools that make “right the first time” operational: private coaching, immediate intervention, approved objection responses, a call quality scorecard, and a clear manager-response process. Listening identifies a problem. Tier 3 can help correct it before the call ends.

Scope priority: ownership and control

“I want to have a CRM that’s ours. That’s what I’m focused on.”

The proposal begins with a dedicated Legacy Path Planning system, not a generic collection of disconnected tools.

→

Connected scope: dedicated GHL sub-account, Carla and co-owner administrator access, agent and assistant roles, custom pipelines, centralized contact history, ownership assignments, reporting, exportable business data, training, and a defined self-managed handoff option.

Scope priority: a dependable operation

“I want to have something solid.”

A solid system must work beyond the day it is demonstrated.

→

Connected scope: structured lead routing, tested workflows, permission controls, appointment logic, stop rules, compliance safeguards, end-to-end acceptance testing, administrator and agent training, recorded resources, defect correction, and an optional managed-support plan.

Scope priority: revenue activity

“Ultimately, that’s what I care about: making money.”

The system is designed to move opportunities forward, not simply store names.

→

Connected scope: website and Facebook lead capture, immediate lead alerts, new-lead response, missed-call follow-up, appointment reminders, no-show recovery, aged-lead reactivation, agent assignment, saved call outcomes, sales-progress reporting, and the selected call-center controls.

Optional additions.

These are not required for core completion. They can be selected now or added later through a written change order.

Use your own website provider

Removing the By Design website build lowers the selected package price by $2,000. By Design still supplies the CRM forms, calendar links, tracking requirements, consent requirements, connection instructions, and one integration-testing round. The outside website and developer remain the client's responsibility. If you later ask By Design to build the website before outside work begins, we will add it through a new written quote and schedule. Repairing, rebuilding, or integrating incomplete or incorrectly built outside work is not included and may cost more than adding the By Design website at the beginning.

From $500

What “managed” means.

Managed means By Design remains the first point of contact for routine system troubleshooting, minor maintenance, user guidance, and cross-platform diagnosis after completion. It is support for the delivered system, not unlimited development or outsourced business operations.

Self-managed handoff

$0 per month to By Design
  • Selected setup fee is paid through the project milestones
  • Included completion testing and training
  • Fourteen-day defect-correction period beginning on the date By Design marks the project complete and provides the handoff notice
  • Credentials and training materials delivered after final payment
  • Future support purchased at $175 per hour or by written quote
  • No recurring support fee is owed to By Design after handoff
  • The client must maintain its own receiving GHL subscription or separately agreed platform access, plus CallTools, hosting, phone, and other vendor services
  • A client-owned GHL account is expected to require a suitable vendor plan, currently anticipated at approximately $297 per month, subject to GHL pricing and feature changes
  • Standard transfer coordination is included. Rebuilding, remapping, or repairing items that a vendor cannot transfer is billed at $175 per hour or separately quoted
  • Vendor subscriptions, usage, and direct vendor support remain the client’s responsibility

CallTools cost protection.

CallTools is a separate vendor relationship. Legacy Path Planning will approve its exact quote, open or authorize its own account, and pay CallTools directly.

What CallTools publicly confirms

  • Pricing is custom and requires a written sales quote.
  • Plans may be offered month to month or annually.
  • The Power Contact Center is advertised with unlimited local and domestic long-distance voice minutes, inbound and outbound.
  • CallTools states that a manager seat is included with purchase.
  • Agent seats can be added as the team grows.
  • Its API is included for customers with an active CallTools account.

What the client pays directly

  • All CallTools subscription and active-agent seat charges
  • Purchased telephone numbers and their recurring DID fees
  • SMS, MMS, or other messaging charges
  • Taxes, regulatory fees, international calls, toll-free services, overages, premium features, and add-ons shown in the vendor quote
  • Any minimum commitment, deposit, onboarding fee, or annual prepayment required by CallTools
  • Any later price increase or additional seat requested by the client

Planning estimate only

  • For internal budgeting, allow approximately $100 to $120 per active agent per month until CallTools provides its quote.
  • This range comes from current third-party pricing reports and is not a promise, cap, or CallTools-issued price.
  • Two active agents would therefore have a preliminary planning range of approximately $200 to $240 per month.
  • Five active agents would have a preliminary planning range of approximately $500 to $600 per month.
  • The written vendor quote replaces every planning estimate in this proposal.

How activation works

  • By Design will help define the seat count and request or review the CallTools quote.
  • No CallTools subscription will be activated on the client’s behalf without written approval.
  • Legacy Path Planning will provide its own payment method directly to CallTools.
  • By Design’s setup fee covers configuration and integration labor only.
  • By Design’s monthly support fee does not include any CallTools bill, telephone number, message, or vendor usage charge.

Usage and cost monitoring

  • CallTools provides Billing and Usage reporting for subscription details, invoices, voice activity, SMS activity, and telephone-number charges.
  • The client is responsible for reviewing vendor invoices and current-cycle usage.
  • By Design can help interpret unexpected charges during a managed-support term but cannot change or waive vendor charges.
  • Adding users, numbers, campaigns, or paid features may increase the client’s vendor bill.

Vendor choice before activation

  • CallTools is the recommended default because it publicly confirms native GHL contact and disposition syncing, power, preview, and predictive dialing, and listen, whisper, and barge controls.
  • JustCall and Kixie may be evaluated before activation if their written quote or workflow is more favorable.
  • No vendor is activated without client approval of its current features, contract, and charges.
  • A different vendor may change implementation requirements, timing, or price. Any change will be documented before work proceeds.

GHL and other operating costs

  • GHL access is maintained during any managed-service term as stated in the final agreement.
  • GHL phone numbers, SMS, email, AI minutes, premium integrations, and other consumption are billed separately.
  • Physical mail, advertising spend, domains, and third-party licensed content are separate.
  • Client approval is required before any material new usage expense is activated.

Fast results, then completion.

Work is delivered in usable phases. Legacy Path Planning does not have to wait for the entire project to be complete before seeing working systems.

3 to 5 business days
First working result: The CRM foundation and lead-intake structure are targeted within 5 to 10 business days after the agreement is signed, the first payment clears, and all required startup items are supplied. The brand, website, automation, and call-center work can then move forward together.

Conditional completion commitment: Tier 1, approximately 4 to 5 weeks. Tier 2, approximately 5 to 6 weeks. Tier 3, approximately 6 to 8 weeks. By Design commits to these completion windows when the client supplies accurate content, access, approvals, payments, vendor activations, and consolidated feedback on time; required compliance review does not stall; the scope does not change; and no vendor outage or event outside By Design's reasonable control interferes. A delay in any dependency pauses or extends the affected completion window by at least the length of the delay.

Payments follow completed value.

Each milestone funds a defined phase. If the client ends the project later, fully paid and completed milestone deliverables are handed over, while By Design remains paid for work already performed and time already reserved.

Important terms, in plain language.

The essentials are below. The full legal and commercial terms are on a separate page and will also be incorporated into the final services agreement.

Scope and changes

The selected tier and signed additions define the work. Independent items may be removed and repriced by written revision. Interdependent CRM, funnel, calendar, reporting, and automation components may require a redesigned scope. Extra pages, campaigns, integrations, migrations, workflows, special user configurations, or material revisions require an approved change order before work begins.

Payment and stopping work

Invoices follow the four defined milestones. A milestone invoice is earned when its stated work is materially complete and presented. Specific defects within scope will be corrected. If remaining work is stopped, earned amounts, approved additions, and noncancelable vendor commitments remain due. Paid client-specific milestone deliverables are handed over after all applicable amounts are paid.

Client data, GHL, and ownership

Legacy Path Planning owns its contacts, records, client information, uploaded content, and other proprietary business data. By Design owns the master GHL agency account plus its reusable workflows, code, templates, architecture, methods, and tools. The client receives use of the delivered configuration for its own business. A self-managed transfer is available, subject to platform capability, a client-paid receiving account, and the handoff terms.

Support and outside vendors

Managed monitoring is periodic, not continuous. Emergency and after-hours help is not included and may be unavailable. GHL, CallTools, carriers, Meta, hosting providers, and other vendors control their own pricing, approvals, uptime, and resolution times. Their subscriptions and usage charges are separate unless the agreement expressly states otherwise.

If the client builds the website

The selected package price is reduced by $2,000 because By Design will not provide website strategy, design, writing structure, development, mobile optimization, accessibility work, hosting setup, or publication. By Design retains $500 of the website allocation for CRM forms, calendar links, tracking and consent requirements, connection instructions, and one integration-testing round. The client's website provider is responsible for correct installation and website performance. Website delays or errors do not delay acceptance of completed CRM work. The client may later request a By Design website through a new written quote and schedule. Troubleshooting, repairing, rebuilding, or integrating incomplete or incorrectly built outside work is not included and is billed at $175 per hour or separately quoted. Depending on the condition of the outside work, correcting it may cost more than building the website correctly from the beginning.

Compliance and client approval

By Design implements approved systems but does not provide legal advice. The client controls lead sources, consent, scripts, states served, insurance representations, employee monitoring, and calling decisions. Regulated language and outreach must be approved by the client's qualified legal, carrier, or compliance reviewer before use.

Liability and disputes

Neither party is liable for indirect or consequential damages to the fullest extent allowed by law. Aggregate liability is capped at the fixed implementation fee actually paid for the selected tier, except where a limitation is prohibited. The parties will first seek direct resolution, then nonbinding mediation in Ohio before suit, subject to the exceptions in the full terms.
